Explorers’ Edge (RTO12) is the regional tourism organization for Algonquin Park, the Almaguin Highlands, Loring-Restoule, Muskoka and Parry Sound funded by the Ontario Ministry of Tourism, Culture & Sport. With some of Canada’s most iconic natural landscapes within its borders, including those that inspired the Group of Seven painters, and recognized as one of the most popular travel destinations in the province, RTO12 promotes travel to the great Canadian wilderness just north of Toronto in all four spectacular seasons.

Executive Summary: Jackrabbit System Booking Solutions Training

JackRabbit Systems is the leader in “Book Direct” technology. JackRabbit’s unique technology allows Explorers’ Edge to scrape availability and rates from tourism business reservation systems and display the results to consumers on regional travel websites.   Current websites utilizing the regional system include:

The Opportunity:

RTO12 is seeking a third party to train tourism operators on the implementation and uploading of inventory onto the JackRabbit System using the JReS component (a free reservation system available on behalf of JackRabbit) http://www.jackrabbitreservations.com/hotels/new.

The objective is to increase the number of available properties with rates and availability on the platform.  The proponent will work directly with the RTO to identify tourism operators, engage those operators and embark on one-on-one training to ensure inventory is live for the 2018 travel season.

The consultant will also make recommendations for next steps related to the overall use of the on-line booking system.

This RFP is to be completed by April 30, 2017 & will be undertaken in four phases (as part of this RFP):

The anticipated phased approach is defined in greater detail as follows

Statement of work:

Phase One: Significant consultation with RTO12 / Explorers’ Edge staff to ensure objectives and executional approach are understood and agreed to.

Phase Two: Preliminary research on the current platform, its use, best practices, metrics etc. Recommendations on tourism stakeholder uptake and development.

Phase Three: Tourism Stakeholder outreach and training.

Phase Four: Final report

Summary of Primary Deliverables

Phase 1 Memo Outlining Agreed to Project Approach and Ultimate Deliverables:  Required: MS Word and PDF electronic versions of the report in English

Phase 2 Report Required: MSWord and PDF electronic versions of the report in English.

Phase 3 Tourism Stakeholder Outreach and Training: MSWord and PDF electronic versions of the report in English.

Phase 4 Overall Platform Best Practices, GAPS and Opportunities (with RTO12 staff) Final Report: MSWord and PDF electronic versions of the report in English.

Required: The final report must be provided in print, in English as well as one PDF and one Word version. In addition, electronic versions of supporting documents will be provided when available.

The proposal, at a minimum, will break out the costs across the following:

  • Research
  • Industry Outreach
  • Travel
  • Final Report Development

Your proposal will form an integral part of the contract and will be considered the Scope of Work for the Initial Term.

Corporate Information:

Please provide a synopsis of your qualifications, including a detailed summary of previous successful planning and training for comparable clients. Also include:

  • A description of the respondent’s company, including location(s), business operations, financial security, and corporate history
  • A standard contract proposal

Note:  Proponents shall identify, within their submission, all excluded items.
